CRM and Financials implemented with Eclipse

West Australian College of Teaching (WACOT) is a new WA Government agency which has engaged Australian integrator, Eclipse Computing (Australia) Pty Ltd, to implement Pivotal CRM software and SunSystems Financials, to manage the registration and membership of the State’s teachers.

WA has never had a centralised database containing information on all of its teachers, which means it has never had absolute figures about the profession. The Pivotal CRM system will allow WACOT to extract meaningful data to forecast changes in the industry and plan strategies to manage them. Teacher registration, which includes information regarding qualifications and police criminal record checks, is also a guarantor of teaching standards in WA.

About WACOT
In September 2004, the WA Parliament passed legislation requiring all teachers in the State’s government and non-government schools to be registered with a professional body.
As a result the WA Parliament establish WACOT to manage membership and to act as an advocate for the teaching profession to government, employers and the community.
A CRM solution to manage registration and extract data for planning
WACOT required a CRM solution and financials software to manage teacher registrations and maintain membership data on the State’s 40,000 teachers.
After going to tender in mid-2004 and evaluating a number of products, WACOT choose Pivotal as its CRM solution and SunSystems Financials, to be implemented by Australian integrator Eclipse. The contract was signed in August 2004 and includes Software, implementation and ongoing maintenance.

The CRM system will maintain membership information including:
• teacher qualifications
• police criminal record checks
• proficiency in English
• work rights in Australia.
Pivotal will also allow WACOT to serve the teaching profession by:
• extracting statistics and data for industry planning
• extracting data for reporting
• analysing industry trends
• predicting growth areas
• predicting shortfalls in the profession
• predicting retirement rates.

Once implementation was finalised in mid-2005, the CRM system was integrated with SunSystems Financials so teachers can register and renew their memberships online. Automating these systems will save WACOT enormous amounts of time and money in relation to manual labour and communications campaigns, such as mail outs regarding membership renewal.

WACOT selected Pivotal because it is an off-the-shelf product that could be modified to meet its specific needs. As a new government agency setting up a brand new system, WACOT wasn’t certain of how the system would be used and what it needed it to do. It wanted a solution that was flexible and user-friendly enough to allow its staff to continue modifying it in-house after Eclipse had completed the initial customisation.
